Setting Up Automated Webinar Registrations from PropFuel through HubSpot to Zoom

  1. Create the Webinar in Zoom

    • Ensure the event is a webinar, not a meeting.

  2. Connect Zoom to HubSpot

    • Sign in to HubSpot and navigate to Settings.

    • Under Account Setup, go to Integrations, then click on Connected Apps.

    • Click on Visit App Marketplace, search for Zoom, and install it.

    • Connect the Zoom account to HubSpot.

  3. Set Up Automation in HubSpot

    • Navigate to Automations in HubSpot and click on Workflow.

    • Create a new workflow.

    • Set a trigger for the workflow based on the Task title.

    • Add an action to the workflow to enroll contacts in the Zoom webinar.

    • Ensure the webinar number in the action matches the created webinar.

  4. Configure PropFuel Integration

    • Go to PropFuel and set up a workflow based on the contact's response.

    • Add an action to create a task in HubSpot.

    • Under "Subject", add the same task title added to the HubSpot workflow.

    • Ensure the Subject value in PropFuel matches the task title set in HubSpot.

  5. Test the Setup

    • Send a test email from PropFuel to a colleague or use a personal email (not the one associated with the Zoom host account).

    • Verify that the workflow enrolls the contact in the webinar correctly.

  6. Additional Considerations

    • Note that once a contact is registered through the automation, they cannot be registered again using the same workflow.
