How to Reply to Responses Directly from PropFuel

When contacts respond to your check-in questions, they sometimes include follow-up questions or comments that need a personal reply. Instead of copying their email address and switching to your inbox, you can reply directly from within PropFuel — right from the response itself.

Replying to a Response

  1. Navigate to your campaign and find the contact response you want to reply to.

  2. Click the Reply button on the response.

  3. A reply window will open with a subject line, a text editor for your message, and your email signature (if configured).

  4. Write your reply and click Send.

The reply is sent as an email directly to the contact. You'll see a record of the follow-up you sent on the contact's response, so you can always reference what was communicated.

Setting Up Your Email Signature

Your regular email client signature doesn't carry over into PropFuel, so you'll want to set one up within the platform. You only need to do this once — it will appear automatically every time you reply to a response.

  1. Click on your name or avatar in PropFuel to navigate to your My Profile page.

  2. Find the Email Signature section.

  3. Use the rich text editor (the same one you use for landing pages and email templates) to create your signature — name, title, contact info, etc.

  4. Click Save.

Once saved, your signature will automatically appear at the bottom of the reply window whenever you respond to a contact.

Choosing Who the Reply Comes From

The person composing the reply in PropFuel may not always be the person you want the email to come from. For example, a staff member might be handling responses on behalf of a director or executive. PropFuel gives you flexibility here.

When the reply window is open, you'll see a "From" selector with three options:

  • Your own name: The default. The reply comes from you, using your email signature.

  • Another PropFuel admin: Select any admin from the dropdown. The reply will come from their name and email address, and the email signature will automatically switch to theirs.

  • Other: Type in any name and email address — useful for sending from a distribution list (like info@ or membership@) or from someone who isn't a PropFuel admin.

Saving and Using Reply Templates

If you find yourself sending similar replies to multiple contacts — for example, several people asking about volunteer opportunities in the same city — you can save your reply as a template and reuse it.

Saving a Template

  1. Write your reply as usual in the reply window.

  2. Before sending, click Save as Template.

  3. Give the template a descriptive name (e.g., "Volunteer Opportunities – Atlanta").

  4. Click Save and Send. Your reply goes out and the template is saved for future use.

Using a Template

  1. Click Reply on the response you want to respond to.

  2. In the reply window, click Reply with Template.

  3. Select the template you want to use. PropFuel will populate the reply window with the saved "From" information, subject line, and email body.

  4. Edit the content as needed for this specific contact — for example, swapping out a city name or adjusting a detail.

  5. Click Send to send it as-is, or click Save as Template to save the edited version as a new template.

Templates are especially useful when you're working through a batch of similar responses and want to maintain consistency while still personalizing each reply.
