Creating and Managing Segments in PropFuel

Segments allow you to group your members based on any combination of data points from third-party integrations or within PropFuel to take further action.

Once you create a segment, you can add it to a campaign to enroll contacts, attach the segment to a campaign as a suppressed segment, or export the segment as a CSV file.

How to Create a Segment

  1. Click "Segments" in the left navigation bar

  2. Click "Create New Segment"

  3. Name your segment and add an optional description (helpful for explaining what the segment tracks or how it's used)

  4. Choose "Static" (you manually refresh the segment in PropFuel) or "Dynamic" (the segment updates every hour as new contacts meet the filters)

  5. Click "Create Segment"

Manual Filters

You can also build filters one-by-one if you prefer:

  1. Click "Edit Filters"

  2. Click "Add Filter"

  3. Choose your first filter type (see below for more about what each filter type means) and values

  4. Add as many subsequent filters as you need (see below for more about filtering options)

  5. Click "Next" to see an overview of the segment, the contacts pulled based on your filter criteria, and the filters used.

  6. Submit if correct. If the data looks as expected, click "Submit." Your segment is now active!

Filtering Options

  • Single filters: Use one filter to define your segment criteria

  • Filter grouping: Separate filters into multiple groups to segment by specific criteria (contacts who match the filters in any group will be included)

    When adding multiple filters, you'll need to decide whether you want to group them as "and" filters (only individual contacts who meet both filters will be added to your segment) or "or" filters (individuals who meet either filter will be added to your segment)

  • Exclusion criteria: Create an exclusion group to remove certain contacts from your segment even if they match your main filters

Filter Types

External Data Sources

  • Filter based on third-party integrations and data such as your AMS

PropFuel Data

  • Contact Field: Filter contacts based on demographic data (such as title, expiration date, join date, etc.), usually brought over through your database connector for each contact.

  • Contact Tag: Filter contacts based on whether they have or don't have a tag in PropFuel.

  • Segment: Filter contacts based on whether they appear or don't appear in another segment in PropFuel.

  • Email Subscription Status: Filter contacts based on whether they are or are not unsubscribed to PropFuel emails.

  • Email Bounce Status: Filter contacts based on whether they have or do not have a bounce flag in PropFuel.

  • SMS Consent Status: Filter contacts based on whether they have or have not opted into PropFuel SMS.

  • Signal: Filter contacts based on whether they appear in a signal set up within PropFuel.

Engagement Data

  • Campaign Activity: Filter contacts based on the contact's activity within a campaign. Options such as if the question was Asked, if they Answered the question, what Selection, Rating, or if they left a Text Response reply are available.

  • Question Activity: Filter contacts based on how they answered any PropFuel question.

  • Campaign Status: Filter contacts based on whether they have ever or never been in a campaign or their current status (active, suppressed, removed) in a campaign.

Actions to Take with a Segment

Once a segment is built, you can:

View segment overview and analytics

Open your segment to see an overview of the data including:

  • Engagement rates

  • Growth trends

  • Activity patterns

Add a segment to a PropFuel campaign

You can add your segment to a campaign as an included or suppressed audience:

  1. Navigate to your campaign and click the Contacts tab

  2. In the Included Segments section, click Add Segment

  3. Select your segment

  4. Confirm the audience size

  5. Choose your desired sync behavior:

    1. Continuous Sync: Contacts are enrolled in the campaign as they meet the segment criteria and removed from the campaign if they stop meeting that criteria.

      1. Best for: Renewal campaigns, where you want to add contacts when they're up for renewal and remove them when they renew.

    2. Add Only (suggested): Contacts are enrolled as they meet the segment criteria and remain in the campaign even if removed from the segment.

      1. Best for: New member onboarding, where you want to add people when they're a few days into their membership and not remove them from the campaign when they are no longer brand new.

    3. Fixed: Enrolls the segment's current contacts. No contacts will be added or removed after the segment is added to the campaign.

      1. Best for: One-time sends or campaigns where you want to lock in a specific audience.

Export the segment as a CSV file for use outside of PropFuel

You can export your segment with any additional field columns:

  1. Navigate to your segment contacts

  2. (Optional) Add additional field columns by clicking on Manage Table Columns and selecting each field you would like displayed in your export

  3. Click Export Contacts

Edit filters

You can modify your segment's filter criteria at any time:

  1. Open your segment

  2. Click Edit Filters to add, remove, or adjust filters that must match or must not match

Note: If your segment is associated with active campaigns, filters will be read-only to prevent unintended changes to your attached campaigns. You can disable read-only mode to edit filters, but be aware that changes will affect those campaigns. To work on a copy instead, duplicate this segment from the Settings tab.

Adjust segment settings

You can modify your segment settings at any time:

  1. Open your segment

  2. Click the Settings tab

From Settings, you can:

  • Edit the segment name

  • Adjust the segment type (Dynamic or Static)

  • Convert to static

  • Add tags to the segment

  • Copy (duplicate) the segment

  • Archive the segment

Viewing and Managing Your Segments

All of your created segments appear on the main Segments page. The page displays the following information for each segment:

  • Segment Name: The name you gave the segment

  • Type: Whether the segment is Dynamic or Static

  • Size: The current number of contacts in the segment

  • Last Run: The date the segment last updated

  • Created: The date the segment was created

From this library view, you can:

  • Filter your view using the tabs at the top:

    • All Segments: View all segments you've created

    • Favorites: View only segments you've marked as favorites

  • Filter by segment type using the "All Types" dropdown

  • Export your view to download a list of your segments

  • Search for segments by name using the search bar

  • Sort segments by clicking on any column header (Name, Type, Size, Last Run, or Created)

  • Open a segment by clicking on the segment name to view details, edit filters, or adjust settings
